How to Enable Exams in Your Event

Introduction

The Exams feature allows you to integrate assessments from Easy LMS into your Videosync events. Viewers can take exams after watching your event for a specified duration, helping you measure comprehension and engagement. Benefits:

  • Assess viewer knowledge and understanding
  • Ensure viewers watch content before taking exams
  • Track exam participation automatically
  • Provide certificates or completion verification through Easy LMS
  • Support multi-language events with customizable notification texts

Prerequisites

Before you can add exams to your event, ensure these requirements are met:

Important Requirements:

  1. New event site must be enabled for your account
  2. Event registration must be enabled (viewers need to register to take exams)
  3. Easy LMS API key must be configured for your account (contact Videosync support)
  4. Easy LMS account with exams already created

If any requirement is missing, the Exams section will display a warning message in Event Admin.

How to Add an Exam to Your Event

Step 1: Navigate to Exams Section

  1. Open your event in Event Admin
  2. Go to Audience Interactions in the left sidebar
  3. Scroll down to the Exams section

Step 2: Add an Exam

  1. Click the Add Exam button
  2. Enter your Easy LMS Exam ID
    • Find this ID in your Easy LMS dashboard
    • The exam must already exist in your Easy LMS account
  3. Click Create Exam
  4. The exam title will be automatically fetched from Easy LMS and displayed

The exam is created in a disabled state by default. You must enable it before viewers can see it.

Step 3: Configure Exam Settings

  1. Set the minimum watch time (in minutes)
    • Viewers must watch the event for this duration before the exam appears
    • Watch time is tracked separately for live and VOD (on-demand) playback
  2. Toggle the exam to Enabled
  3. The exam will now be available to viewers who meet the watch time requirement

Step 4: Customize Notification Texts (Optional)

Expand the Advanced Settings accordion to customize how the exam appears to viewers:

  1. Notification Title - Title shown in the popup (default: “Exam Available”)
  2. Notification Description - Description text explaining the exam
  3. Start Button Text - Text for the start button (default: “Start Exam”) Changes save automatically after you stop typing (1 second delay).

Step 5: Add Translations (Optional)

If your event supports multiple languages:

  1. Select a language from the Select language dropdown
  2. Edit the notification texts in that language
  3. Switch to another language to add more translations
  4. Each language will display the appropriate text to viewers

How Viewers Experience Exams

Watch Time Tracking

Videosync tracks how long viewers actively watch your event:

  • Watch time only accumulates when the video player is actively playing
  • Time tracking pauses when viewers pause the player
  • Live and VOD have separate watch time counters
  • Watch time persists across page reloads and browser restarts
  • When an event transitions from live to VOD, watch time resets to 0

Notification Popup

When a viewer reaches the required watch time:

  1. A notification popup appears on the event page
  2. The popup shows your customized notification title and description
  3. The viewer has two options:
    • Start Exam - Opens the exam immediately
    • Later - Dismisses the popup and adds the exam to the widget

Exam Widget

After dismissing the notification or completing setup:

  • A small widget appears in the bottom-right corner of the event page
  • Shows all available exams for the current event
  • Viewers can click the widget to open any available exam
  • The widget is hidden when the notification popup is open

Taking the Exam

When a viewer starts an exam:

  1. A full-screen modal opens with the Easy LMS exam embedded
  2. Videosync automatically registers the viewer with Easy LMS using their registration information
  3. The exam loads in an iframe from Easy LMS
  4. Viewers can close and resume the exam at any time
  5. Exam progress is saved in the database for cross-device resumption

Configuration Options

Minimum Watch Time

  • Set in minutes (converted to seconds internally)
  • Determines when the exam becomes available to viewers
  • Consider your event length when setting this value
  • Viewers who have not reached the threshold will not see the exam

Notification Texts

Customize three text fields to match your event tone:

  • Notification Title - Grab attention with a clear title
  • Notification Description - Explain what the exam is about or why viewers should take it
  • Start Button Text - Call to action text

Multi-Language Support

Add translations for each language your event supports:

  • Select the language from the dropdown
  • Edit the notification texts for that language
  • Translations are stored separately and shown based on viewer’s language preference

Tips & Best Practices

Setting Watch Time:

  • For 30-minute events, consider 20-25 minutes minimum watch time
  • For longer events, you might require watching at least 50-75% of the content
  • Too short: Viewers might not have enough context for the exam
  • Too long: Viewers might leave before becoming eligible Notification Texts:
  • Keep titles short and clear (e.g., “Knowledge Check Available”)
  • Use descriptions to motivate viewers (e.g., “Test your understanding and earn a certificate”)
  • Make button text action-oriented (e.g., “Take Quiz Now”, “Start Assessment”) Testing:
  • Test exams in preview mode before your live event
  • Verify the Easy LMS Exam ID is correct
  • Check that notification texts display correctly in all languages
  • Ensure the exam loads properly in the iframe Event Duplication:
  • Exams are never copied when duplicating events
  • This prevents registration conflicts with Easy LMS
  • You must manually recreate exams for duplicated events

Troubleshooting

”Requirements not met” Warning

If you see this warning in the Exams section, check:

  1. New event site enabled - Contact support if not enabled
  2. Registration enabled - Go to Event AdminBasic Settings → Enable registration
  3. Easy LMS API key configured - Contact Videosync support to configure your account

Exam Not Appearing for Viewers

If viewers don’t see the exam:

  1. Check exam is enabled - Toggle must be in the “on” position
  2. Verify watch time - Viewer must meet the minimum watch time requirement
  3. Confirm registration - Viewer must be registered for the event
  4. Check browser console - Look for any JavaScript errors

Exam Validation Fails

If the Easy LMS Exam ID doesn’t validate:

  1. Verify the ID - Double-check the exam ID from your Easy LMS dashboard
  2. Check API key - Ensure your account’s Easy LMS API key is configured correctly
  3. Contact support - If the problem persists, reach out to Videosync support

Unable to Configure API Key

The Easy LMS API key is configured at the account level by system administrators. If you need API key configuration:

  • Contact Videosync support
  • Provide your Easy LMS account details
  • Support will configure the API key for your account
  • Polls - Another audience interaction feature for gathering feedback
  • Registration - Required for exam functionality to work
  • Analytics Dashboard - Track overall event engagement (exam data may be added in future)
